Job Description

We are seeking a highly organized and detail-oriented Development Assistant to join our dynamic Fundraising & Donor Relations team. This pivotal role provides comprehensive administrative and operational support to the Vice President for University Advancement and other members of the development staff. The successful candidate will be instrumental in ensuring the smooth operation of all fundraising activities, maintaining accurate donor records, and assisting with donor stewardship efforts. This position offers a unique opportunity to contribute to the growth and success of California State University, Bakersfield and its impact on the community.

Key Responsibilities

  • Provide high-level administrative support, including scheduling, correspondence, and travel arrangements for the fundraising team.
  • Manage and maintain the donor database (e.g., Raiser's Edge, Salesforce) with accuracy and integrity, ensuring all donor interactions and pledges are recorded promptly.
  • Assist with the preparation and distribution of fundraising materials, proposals, reports, and acknowledgments.
  • Coordinate logistics for donor events, meetings, and campus visits, including venue booking, catering, invitations, and attendee tracking.
  • Process gifts and pledges in compliance with university policies and ensure proper classification and allocation.
  • Conduct basic prospect research to identify potential donors and funding opportunities.
  • Draft and proofread donor communications, including thank you letters, stewardship reports, and promotional materials.
  • Assist in managing the Vice President's donor portfolio, tracking communication, and follow-up activities.
  • Support special projects and initiatives as assigned by the development leadership team.
  • Maintain strict confidentiality regarding donor information and fundraising strategies.

Required Skills

  • Exceptional organizational and time management skills with strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with donor management software (e.g., Raiser's Edge, Salesforce) or similar CRM systems.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong interpersonal skills with a professional and friendly demeanor.
  • Proven ability to handle multiple tasks simultaneously and meet deadlines.
  • Discretion and ability to handle confidential information with integrity.

Preferred Qualifications

  • Bachelor's degree in a relevant field (e.g., Business Administration, Communications, Non-profit Management).
  • Previous experience in a fundraising, development, or non-profit environment.
  • Familiarity with higher education fundraising principles and practices.
  • Knowledge of basic accounting principles related to gift processing.
  • Experience in event planning and coordination.
