Job Description
We are seeking a highly organized and detail-oriented AI Administrative Support professional to join our remote team. In this role, you will play a crucial part in ensuring the smooth operation of our AI-driven projects and initiatives by providing comprehensive administrative assistance. This is a 100% remote position, offering the flexibility to work from anywhere within the United States, with a focus on supporting our teams based out of the greater New York area. Your responsibilities will include managing schedules, preparing reports, coordinating communications, and assisting with data organization to optimize our AI development workflows. Ideal candidates will have a keen interest in artificial intelligence and a proven track record in administrative support, coupled with excellent technical proficiency and a proactive approach.
Key Responsibilities
- Manage and maintain calendars, schedule meetings, and coordinate appointments for AI project leads and team members.
- Prepare and format documents, presentations, and reports related to AI project progress, research findings, and administrative tasks.
- Facilitate internal and external communication, including drafting emails, managing correspondence, and acting as a liaison between departments.
- Assist with data entry, organization, and maintenance of project-related information within various internal systems and databases.
- Support the planning and execution of virtual events, workshops, and training sessions for AI teams.
- Monitor project timelines and deliverables, providing reminders and follow-ups to ensure tasks are completed efficiently.
- Handle general administrative duties as assigned, contributing to the overall efficiency of our remote operations.
Required Skills
- Proven experience in an administrative support role, preferably in a tech or AI-related environment.
- Exceptional organizational skills and attention to detail.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or similar office suites.
- Strong written and verbal communication skills.
- Ability to work independently and manage multiple priorities in a fast-paced remote environment.
- Familiarity with virtual communication and collaboration tools (e.g., Google Meet, Slack).
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Information Technology, or a related field.
- Basic understanding or keen interest in Artificial Intelligence, Machine Learning, or data science concepts.
- Experience supporting technical teams or projects.
