Job Description

We are seeking a highly organized and detail-oriented Remote Admin Specialist to join our Benefits Administration team. In this 100% remote role, you will be crucial in supporting the administration of 401k plans and medical benefits for our clients’ employees. You will manage data, process enrollments, respond to inquiries, and ensure compliance with relevant regulations. This position requires strong administrative skills, a solid understanding of benefits administration processes, and the ability to work independently in a fast-paced environment.

Key Responsibilities

  • Process 401k contributions, distributions, rollovers, and loan requests accurately and in a timely manner.
  • Administer medical benefits, including new enrollments, changes, and terminations.
  • Respond to participant inquiries regarding 401k plans and medical benefits via phone and email, providing clear and concise information.
  • Maintain accurate employee benefit records in the HRIS and benefits administration systems.
  • Assist with benefits reconciliation, auditing, and reporting processes.
  • Ensure compliance with ERISA, HIPAA, ACA, and other relevant federal and state regulations.
  • Collaborate with internal teams (e.g., HR, Payroll, Compliance) to resolve benefits-related issues.
  • Prepare and distribute benefits communications and documentation to participants.
  • Identify and implement process improvements to enhance efficiency and accuracy in benefits administration.

Required Skills

  • 2+ years of experience in benefits administration, HR support, or a related administrative role.
  • Strong knowledge of 401k plans and medical benefits administration.
  • Proficiency with HRIS and benefits administration software (e.g., Workday, Oracle HCM, ADP Workforce Now).
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Ability to work independently and manage multiple tasks in a remote environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Understanding of federal and state benefits regulations (ERISA, HIPAA, ACA).

Preferred Qualifications

  • Bachelor's degree in Business Administration, Human Resources, Finance, or a related field.
  • CEBS, PHR, or SHRM-CP certification.
  • Experience with Fidelity's internal systems or similar large-scale benefits platforms.
  • Proven ability to troubleshoot and resolve complex benefits issues.
