Job Description
We are seeking a highly organized and detail-oriented Pharmacy Administrative Aide to provide essential administrative and clerical support to our Pharmacy Management team at Saint Alphonsus Medical Center Nampa. In this crucial role, you will assist with daily operations, maintain records, coordinate schedules, and ensure the smooth administrative functioning of the pharmacy department. This position offers an excellent opportunity to contribute to patient care indirectly by supporting the dedicated professionals who manage our pharmacy services. The ideal candidate will possess strong communication skills, a proactive attitude, and a commitment to accuracy and confidentiality.
Key Responsibilities
- Provide comprehensive administrative support to Pharmacy Managers and staff.
- Manage and organize pharmacy records, files, and documentation, ensuring compliance with regulatory standards.
- Coordinate meetings, prepare agendas, and record minutes for departmental gatherings.
- Handle correspondence, including drafting letters, memos, and emails.
- Assist with inventory management tasks, including ordering supplies and reconciling invoices.
- Process and track various departmental forms and reports.
- Maintain confidentiality of sensitive information and patient data.
- Facilitate communication between pharmacy staff, other hospital departments, and external vendors.
- Manage staff scheduling and time-off requests, assisting with payroll documentation.
- Support special projects and initiatives as directed by Pharmacy Management.
Required Skills
- High School Diploma or GED
- Minimum of 1 year of administrative support experience, preferably in a healthcare setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to work independently and as part of a team.
- Demonstrated attention to detail and accuracy.
- Capability to handle multiple tasks and prioritize effectively.
Preferred Qualifications
- Associate's or Bachelor's degree in a related field.
- Experience with medical record systems (e.g., Epic) or pharmacy management software.
- Knowledge of medical terminology or pharmacy operations.
- Previous experience in a hospital or clinical environment.
