Job Description

Swallow Hill Music is seeking an experienced and passionate Music School Operations Manager to lead the administrative and operational functions of our bustling music school. This pivotal leadership role requires a blend of organizational prowess, customer service excellence, and a deep appreciation for music education. The successful candidate will ensure the smooth day-to-day operations of our school, supporting faculty, students, and parents, and contributing to the overall success and growth of our programs. This role offers the opportunity to make a significant impact on our community and will include a performance bonus structure based on school enrollment and operational efficiency.

Key Responsibilities

  • Oversee daily administrative operations of the music school, including scheduling, registration, and facility management.
  • Manage student enrollment processes, including inquiries, applications, and record-keeping.
  • Supervise and support administrative staff, ensuring high levels of service and efficiency.
  • Collaborate with the Artistic Director to optimize class schedules, private lesson offerings, and curriculum delivery.
  • Handle student and parent communications, addressing inquiries, concerns, and feedback professionally and promptly.
  • Manage and maintain school facilities, ensuring a safe, clean, and organized environment for learning and performances.
  • Monitor and manage the school's operational budget, identifying areas for efficiency and cost savings.
  • Implement and refine operational policies and procedures to enhance the student and faculty experience.
  • Assist with faculty onboarding and support, including contract management and scheduling.
  • Generate regular reports on school performance, enrollment numbers, and operational metrics.

Required Skills

  • Minimum 4 years of experience in operations management, preferably within an educational or arts organization.
  • Proven leadership and team management abilities.
  • Exceptional organizational and time management skills with a keen eye for detail.
  • Strong communication and interpersonal skills, capable of interacting effectively with diverse stakeholders.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and database management systems.
  • Ability to work independently and as part of a collaborative team in a fast-paced environment.
  • Passion for music education and the arts.

Preferred Qualifications

  • Bachelor's degree in Arts Administration, Business Management, Education, or a related field.
  • Experience with music school specific software or student information systems (e.g., Mindbody, Active Network).
  • Familiarity with non-profit organizational structures and operations.
  • Experience in budget management and financial reporting.
