Job Description
We are seeking a highly organized and proactive Executive Support Associate to provide comprehensive administrative support to our senior leadership team. This role is crucial in ensuring the smooth and efficient operation of executive offices, managing complex schedules, coordinating meetings, and handling confidential information with the utmost discretion. The ideal candidate will be a meticulous planner, an excellent communicator, and possess a strong ability to anticipate needs and prioritize tasks effectively. This is a full-time, Monday-Friday position, offering a stable work schedule and the opportunity to be an integral part of a vital healthcare organization.
Key Responsibilities
- Manage complex calendars and schedule appointments for executive staff, ensuring optimal time management.
- Coordinate and organize meetings, including preparing agendas, distributing materials, arranging catering, and recording minutes.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
- Handle incoming calls, emails, and visitors, directing inquiries appropriately and providing a high level of customer service.
- Maintain highly confidential information and sensitive documents with integrity and discretion.
- Arrange travel logistics, including flights, accommodation, and ground transportation, and prepare detailed itineraries.
- Process expense reports and manage departmental invoices.
- Assist with special projects and initiatives as assigned by executives.
- Act as a liaison between executives and internal/external stakeholders.
- Ensure office supplies and equipment are maintained and ordered as needed.
Required Skills
- Minimum of 2 years of experience in an administrative or executive support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities, with keen attention to detail.
- Ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Proactive and resourceful problem-solver.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience working in a healthcare or medical environment.
- Familiarity with project management tools and systems.
