Job Description

We are seeking a proactive and highly organized Administrative Partner to provide comprehensive “small business style” support for a key client engagement, specifically involving projects and initiatives related to Electronic Arts. This role requires a versatile individual who can manage diverse administrative tasks, provide meticulous project support, and act as a central point of contact for operational needs, ensuring seamless workflow and effective communication. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional problem-solving skills and a strong commitment to client satisfaction.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel arrangements for key personnel involved in the Electronic Arts partnership.
  • Prepare and format reports, presentations, and correspondence with high attention to detail.
  • Serve as the primary administrative point of contact, fielding inquiries and directing them to appropriate team members.
  • Assist with budget tracking, expense reporting, and invoice processing for project-related activities.
  • Organize and maintain digital and physical filing systems, ensuring accessibility and compliance.
  • Facilitate communication between internal teams and client stakeholders, including Electronic Arts representatives.
  • Support project managers with data entry, documentation, and minor research tasks.
  • Coordinate office supplies, equipment maintenance, and general office upkeep for the project team.
  • Help onboard new team members by preparing necessary documentation and resources.
  • Proactively identify and address administrative challenges to improve operational efficiency.

Required Skills

  • Minimum 2 years of experience in an administrative support or office management role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Demonstrated ability to multitask and prioritize effectively in a dynamic environment.
  • High level of discretion and professionalism when handling confidential information.
  • Problem-solving aptitude with a proactive approach.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience supporting projects or clients in the entertainment, technology, or gaming industry.
  • Familiarity with project management software (e.g., Asana, Trello).
  • Experience working in a BPO or client-facing administrative role.
  • Ability to adapt quickly to new technologies and processes.
