Job Description

We are seeking a highly organized and proactive Administrative Partner to join our collaborative office environment in McKinney, Texas. This role is central to ensuring the smooth and efficient operation of our office, providing comprehensive administrative support to various teams and executives. The ideal candidate will be a master of multitasking, possess exceptional communication skills, and thrive in a fast-paced setting where attention to detail is paramount. You will be instrumental in fostering a productive and positive atmosphere, acting as the go-to person for operational support and office coordination.

Key Responsibilities

  • Provide high-level administrative support, including managing complex calendars, scheduling meetings, and coordinating travel arrangements for senior staff.
  • Prepare and edit correspondence, reports, presentations, and other documents with meticulous attention to detail.
  • Manage office supplies inventory, place orders, and ensure all office equipment is functioning properly.
  • Organize and coordinate internal and external events, meetings, and conferences, including venue booking, catering, and attendee logistics.
  • Process expense reports, invoices, and other financial documents, ensuring accuracy and compliance with company policies.
  • Act as a primary point of contact for internal and external stakeholders, handling inquiries and directing them appropriately.
  • Maintain confidential information with discretion and professionalism.
  • Assist with onboarding new employees, including workstation setup and initial orientation support.
  • Implement and maintain effective filing systems, both physical and digital.
  • Support special projects and initiatives as assigned by leadership.

Required Skills

  • Minimum of 2 years of administrative support experience in a corporate environment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Proactive problem-solver with a strong attention to detail.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience with corporate travel booking platforms.
  • Familiarity with financial services industry terminology and practices.
  • Experience in a collaborative or open-plan office setting.
