Job Description

We are seeking a highly organized and proactive Houston Energy Hub Admin with a strong Corporate Support focus to join our dynamic team in Irvine, CA. This role is crucial for ensuring the smooth operation and administrative efficiency of our corporate functions supporting the Houston Energy Hub. The successful candidate will provide comprehensive administrative support to senior leadership and teams, manage complex schedules, coordinate travel, prepare reports, and handle sensitive information with discretion. This is an excellent opportunity for an experienced administrative professional to contribute to a global energy leader and play a vital role in our corporate success.

Key Responsibilities

  • Provide high-level administrative support to executives and teams, including managing calendars, scheduling meetings, and coordinating conference calls.
  • Arrange complex domestic and international travel logistics, including flights, accommodation, and ground transportation, and prepare detailed itineraries.
  • Process expense reports, invoices, and purchase orders, ensuring accuracy and compliance with company policies.
  • Prepare and format presentations, reports, spreadsheets, and other documents using Microsoft Office Suite.
  • Organize and maintain physical and electronic files, ensuring confidentiality and easy retrieval of information.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries appropriately.
  • Coordinate office supplies, equipment maintenance, and facility requests for the Irvine office.
  • Assist with special projects and initiatives as assigned, demonstrating initiative and problem-solving skills.

Required Skills

  • Minimum of 5 years of administrative support experience in a corporate environment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint, Teams).
  • Excellent organizational and time management skills with the ability to prioritize multiple tasks effectively.
  • Strong written and verbal communication skills.
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Proven ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience supporting executives in the energy or a similarly complex industry.
  • Familiarity with travel and expense management systems (e.g., Concur).
  • Experience in project coordination or event planning.
