Job Description

We are seeking an exceptional and highly discreet Private Assistant to provide comprehensive, confidential support to a senior executive in our Durham office. This critical role requires an individual with impeccable organizational skills, a proactive approach, and the ability to manage complex personal and professional calendars with the utmost discretion. The ideal candidate will be a trusted partner, anticipating needs and handling sensitive information with integrity and professionalism. This is an on-site position requiring a strong commitment to service excellence and a deep understanding of corporate and personal support dynamics.

Key Responsibilities

  • Manage complex calendars, scheduling appointments, meetings, and travel arrangements (domestic and international) with precision.
  • Act as a primary point of contact, screening calls and correspondence, and handling inquiries with professionalism and discretion.
  • Prepare and organize documents, presentations, and reports, ensuring accuracy, confidentiality, and timely delivery.
  • Handle sensitive personal and professional tasks, including detailed expense reporting, personal errands, and event planning.
  • Maintain highly organized digital and physical filing systems for confidential information and records.
  • Coordinate and facilitate seamless communication between the executive and internal/external stakeholders.
  • Proactively anticipate needs and provide innovative solutions to ensure efficient operations and support for the executive.
  • Oversee office supplies and equipment, ensuring the executive's workspace is always well-prepared and functional.

Required Skills

  • Minimum 3 years of experience as an executive assistant or private assistant supporting a senior-level executive.
  • Demonstrated ability to handle highly confidential information with absolute discretion and integrity.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant productivity tools.
  • Excellent written and verbal communication skills with a professional demeanor.
  • Proactive, self-motivated, and adaptable with a strong problem-solving aptitude.
  • Ability to manage multiple priorities, work effectively under pressure, and meet tight deadlines.
  • Strong interpersonal skills with the ability to build rapport and trust.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience working in a financial services or fast-paced corporate environment.
  • Familiarity with advanced travel booking platforms and sophisticated expense management software.
  • Project management experience or certification.
