Job Description

We are seeking a dedicated and organized Hospitality Admin Assistant with a strong focus on hotel management to join our team in Georgetown, Washington D.C. This role is crucial for supporting the efficient day-to-day operations of our hotel, providing administrative assistance to management, and ensuring a seamless experience for both staff and guests. The ideal candidate will have an interest in advancing within the hospitality sector and a proactive approach to problem-solving and support tasks.

Key Responsibilities

  • Provide comprehensive administrative support to the hotel management team, including scheduling meetings, managing correspondence, and preparing reports.
  • Assist with departmental budgeting, expense tracking, and financial record-keeping.
  • Coordinate internal communications and manage information flow within the hotel.
  • Maintain organized filing systems, both digital and physical, for contracts, personnel records, and operational documents.
  • Handle guest inquiries and complaints with professionalism, escalating to management when necessary.
  • Support HR functions such as onboarding new employees, managing time-off requests, and maintaining personnel files.
  • Assist in the coordination of hotel events, staff training sessions, and special projects.
  • Order and maintain office supplies, ensuring all departments have necessary resources.
  • Compile and analyze data related to hotel performance, guest satisfaction, and operational efficiency.
  • Collaborate with various departments (Front Desk, Housekeeping, F&B) to ensure smooth operations and high service standards.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Attention to detail and accuracy in all tasks
  • Ability to work independently and as part of a team
  • Discretion and confidentiality in handling sensitive information
  • Basic understanding of administrative procedures

Preferred Qualifications

  • Previous administrative experience in a hospitality or hotel environment
  • Associate's or Bachelor's degree in Hospitality Management, Business Administration, or a related field
  • Familiarity with hotel management software (e.g., Opera PMS)
  • Experience with basic accounting principles and expense tracking
  • Bilingual proficiency is a plus
