Job Description

We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative and personal support to a senior executive during afternoon and evening hours. This role requires exceptional attention to detail, strong time management skills, and the ability to anticipate needs and manage priorities effectively in a fast-paced corporate environment. The ideal candidate will be a trusted partner, ensuring the executive’s professional and personal life runs smoothly outside of standard business hours.

Key Responsibilities

  • Manage and organize complex calendars, including scheduling and coordinating meetings, appointments, and personal engagements during afternoon and evening hours.
  • Handle correspondence, screen calls, and manage emails efficiently, prioritizing urgent matters.
  • Prepare documents, presentations, and reports as requested.
  • Arrange complex travel itineraries, including flights, accommodations, and ground transportation, often requiring last-minute adjustments.
  • Perform various personal errands and tasks, such as managing household arrangements, coordinating personal appointments, and assisting with event planning.
  • Maintain strict confidentiality and discretion regarding all business and personal matters.
  • Liaise with internal staff, external contacts, and vendors on behalf of the executive.
  • Oversee and track expense reports and invoices.
  • Provide general administrative support, including filing, data entry, and office organization, ensuring a smooth transition for the next day.

Required Skills

  • Proven experience as a Personal Assistant or Executive Assistant for a senior-level executive.
  • Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
  • High level of discretion and integrity.
  • Ability to work independently with minimal supervision and exercise sound judgment.
  • Flexibility to adapt to changing schedules and priorities.
  • Proactive approach to problem-solving and task management.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience in a large corporate or multinational environment.
  • Familiarity with travel booking platforms and expense management systems.
  • Ability to speak multiple languages is a plus.
