Job Description
We are seeking a highly organized and detail-oriented High School Office Partner with a strong focus on administrative support and filing. This vital role ensures the smooth operation of our school office by managing various clerical tasks, maintaining accurate records, and providing excellent customer service to students, parents, faculty, and visitors. The ideal candidate will be adept at multitasking, possess strong communication skills, and thrive in a fast-paced educational setting.
Key Responsibilities
- Manage and maintain comprehensive student and administrative records, ensuring accuracy and confidentiality.
- Perform extensive filing, both physical and electronic, and assist with document retrieval and archiving.
- Handle incoming and outgoing correspondence, including mail, emails, and general inquiries.
- Provide administrative support to school leadership, faculty, and staff as needed.
- Assist with data entry, report generation, and preparation of various school documents.
- Greet and assist visitors, students, and parents at the front office, directing them appropriately.
- Answer and direct phone calls, taking messages and providing information courteously.
- Manage office supplies inventory and place orders as required.
- Support the coordination of school events and activities through clerical assistance.
- Ensure the office area is tidy, organized, and welcoming.
Required Skills
- Proven experience in an administrative or office support role.
- Exceptional organizational skills and meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent interpersonal skills and a customer service-oriented approach.
- Ability to work independently and as part of a team in a busy environment.
- High school diploma or equivalent.
Preferred Qualifications
- Associate's degree or certification in office administration.
- Previous experience working in a school office or educational setting.
- Familiarity with school management software (e.g., Skyward, Focus).
- Experience with database management and record-keeping systems.
