Job Description

We are seeking a highly organized, proactive, and dynamic Executive Office Manager to take on a combined leadership role at our Savannah headquarters. This critical position involves providing comprehensive administrative support to senior executives, overseeing office operations, and leading key administrative projects. The ideal candidate will be a strategic thinker with exceptional communication and interpersonal skills, capable of managing multiple priorities in a fast-paced, high-profile environment. This role requires an individual who can not only manage daily office functions but also contribute to broader organizational efficiency and executive support.

Key Responsibilities

  • Manage complex calendars and schedule appointments for senior executives, optimizing their time and productivity.
  • Coordinate and prepare materials for executive meetings, including presentations, agendas, and detailed reports.
  • Oversee general office operations, ensuring a professional, efficient, and well-maintained work environment.
  • Lead administrative projects aimed at improving office processes, executive support systems, and cross-departmental coordination.
  • Act as a primary point of contact for internal and external stakeholders on behalf of executives, managing inquiries and communications with professionalism.
  • Handle sensitive and confidential information with the utmost discretion and integrity.
  • Plan and execute company events, high-level meetings, and conferences, managing all logistical aspects.
  • Manage complex domestic and international travel arrangements and detailed expense reporting for executives.
  • Mentor and potentially supervise junior administrative staff, fostering a collaborative and high-performing team.

Required Skills

  • Proven experience (minimum 5 years) as an Executive Assistant, Office Manager, or similar administrative leadership role supporting senior-level management.
  • Exceptional organizational and time management abilities, with a strong attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong verbal and written communication skills, with the ability to articulate complex information clearly.
  • Demonstrated high level of discretion and integrity when handling confidential and sensitive information.
  • Ability to anticipate needs, proactively address potential issues, and solve problems independently.
  • Strong problem-solving and decision-making capabilities in a dynamic environment.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Experience working within the aerospace, manufacturing, or defense industry.
  • Familiarity with project management tools and methodologies.
  • Professional certifications in office administration or executive support.
