Job Description

We are seeking an exceptionally organized and proactive Private Personal Assistant to provide comprehensive support for a high-level executive’s home and office needs. This demanding role requires a self-starter with impeccable discretion, strong communication skills, and the ability to manage a wide array of personal and professional tasks seamlessly. The ideal candidate will be adept at anticipating needs, problem-solving independently, and maintaining a high level of confidentiality and professionalism at all times. This is an on-site position based in Mesa, AZ, requiring a dedicated presence to manage day-to-day operations effectively.

Key Responsibilities

  • Manage complex calendars, scheduling appointments, meetings, and personal engagements.
  • Arrange and coordinate extensive domestic and international travel logistics, including flights, accommodations, and itineraries.
  • Handle all personal errands, appointments, and general administrative tasks for the executive.
  • Oversee household staff (cleaners, gardeners, etc.), managing schedules, payments, and performance.
  • Coordinate with vendors for household maintenance, repairs, and projects, ensuring timely completion and quality service.
  • Manage household budgets, tracking expenses, processing invoices, and maintaining accurate financial records.
  • Act as a primary liaison between the executive and various contacts, both professional and personal.
  • Organize and maintain personal and professional files, documents, and records, ensuring utmost confidentiality.
  • Assist with event planning, both private and professional, from concept to execution.
  • Conduct research, prepare reports, and handle special projects as assigned.

Required Skills

  • Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, or similar role.
  • Exceptional organizational and time management skills with meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and various productivity tools.
  • Demonstrated ability to maintain confidentiality and exercise extreme discretion.
  • Strong written and verbal communication skills.
  • Proactive problem-solver with the ability to anticipate needs and act independently.
  • Flexibility to work outside standard business hours as needed.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience supporting C-suite executives or high-net-worth individuals.
  • Familiarity with project management software.
  • Experience in managing household staff and vendor relations.
