Job Description
We are seeking a highly organized and detail-oriented Administrative Support professional with a strong focus on the construction industry to join our Honolulu team. In this vital role, you will provide comprehensive administrative assistance to project managers and various departments, ensuring the smooth and efficient operation of our construction projects. This position requires someone who can manage multiple tasks, communicate effectively, and maintain meticulous records in a fast-paced environment.
Key Responsibilities
- Manage and organize project documentation, including contracts, blueprints, and permits.
- Prepare and distribute project correspondence, reports, and presentations.
- Coordinate meetings, schedule appointments, and manage calendars for project teams.
- Assist with data entry, invoicing, and expense tracking.
- Maintain office supplies inventory and place orders as needed.
- Act as a primary point of contact for internal and external stakeholders.
- Support human resources functions such as onboarding new staff and maintaining personnel files.
- Facilitate communication between site teams, office staff, and external vendors.
- Organize and archive project-related files and records.
- Assist with special projects and initiatives as assigned.
Required Skills
- Proven experience in an administrative support role.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of attention to detail and accuracy.
- Ability to prioritize tasks and manage multiple deadlines.
- Problem-solving capabilities and a proactive approach.
Preferred Qualifications
- Associate's degree in Business Administration or a related field.
- 1-2 years of administrative experience in the construction or engineering industry.
- Familiarity with construction project management software (e.g., Procore, Primavera).
- Knowledge of basic accounting principles.
