Job Description
We are seeking a highly organized, proactive, and detail-oriented Remote EA Associate to provide comprehensive administrative support to our executive team. This 100% remote position is perfect for a self-starter who excels in a dynamic virtual environment, managing complex schedules, coordinating communications, and supporting various administrative projects. You will be instrumental in ensuring the smooth operation of daily tasks for our leadership, contributing directly to our mission of client success and financial security.
Key Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and travel arrangements for executives.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate internal and external communications, acting as a liaison with clients and stakeholders.
- Organize and maintain digital files and records with meticulous attention to detail.
- Assist with special projects, research, and data compilation as needed.
- Process expense reports and manage invoices in compliance with company policies.
- Facilitate virtual meetings, including setting up technology, preparing agendas, and distributing minutes.
- Proactively anticipate needs and provide solutions to improve efficiency and workflow for executives.
Required Skills
- Proven experience as an Executive Assistant or in a similar administrative support role.
- Exceptional organizational and time management skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong verbal and written communication abilities.
- High degree of professionalism and discretion in handling confidential information.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Experience with virtual collaboration tools (e.g., Zoom, Microsoft Teams).
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience in the financial services or insurance industry.
