Job Description
We are seeking a diligent and forward-thinking Records Management Assistant with a strong focus on AI-driven digital data. In this role, you will be instrumental in organizing, maintaining, and optimizing our digital records using advanced AI tools and methodologies. You will support our teams in ensuring data integrity, compliance, and efficient information retrieval, contributing significantly to our digital transformation initiatives. Key Responsibilities
- Assist in the daily management and organization of digital records and information assets.
- Utilize AI-powered software and tools to classify, tag, and index digital data for enhanced searchability and compliance.
- Implement and maintain digital records retention schedules and disposition processes in accordance with company policies and legal requirements.
- Conduct quality assurance checks on digital records to ensure accuracy, completeness, and accessibility.
- Provide support for data migration projects, ensuring smooth transitions of legacy data into new digital platforms.
- Collaborate with IT and data science teams to refine AI tools for improved records management efficiency.
- Train and support internal users on best practices for digital records management and the use of relevant tools.
- Prepare reports on digital record status, compliance, and system performance.
- Contribute to the development and improvement of digital records management policies and procedures.
Required Skills
- Proficiency in digital records management principles and practices.
- Familiarity with AI tools or concepts related to data classification, natural language processing, or information retrieval.
- Strong organizational skills and meticulous attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency with Microsoft Office Suite (Word, Excel, SharePoint, Outlook) and document management systems.
- Ability to work independently and as part of a team in a fast-paced environment.
- Understanding of data privacy and security best practices.
Preferred Qualifications
- Associate's or Bachelor's degree in Library Science, Information Management, Computer Science, or a related field.
- Certification in Records Management (e.g., CRM) or Information Governance.
- Experience with enterprise content management (ECM) systems or electronic document management systems (EDMS).
- Proven experience working with large datasets and digital archives.
- Prior experience in a technology-driven environment.
