Job Description
We are seeking a highly organized and detail-oriented Administrative Secretary to join our dynamic team in Morgantown, WV. This full-time position offers a stable Monday-Friday roster, ensuring a consistent work schedule. The Administrative Secretary will be responsible for providing comprehensive administrative support to a department or executive, managing schedules, coordinating meetings, preparing documents, and ensuring the smooth operation of daily administrative functions. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to manage multiple tasks efficiently in a fast-paced healthcare environment.
Key Responsibilities
- Manage and maintain executive calendars, scheduling appointments and meetings.
- Prepare, proofread, and distribute correspondence, reports, presentations, and other documents.
- Organize and coordinate internal and external meetings, including room setup, material preparation, and minute-taking.
- Handle incoming calls, emails, and mail, directing inquiries to appropriate personnel.
- Maintain organized filing systems, both electronic and physical.
- Assist with travel arrangements and expense report preparation.
- Order and maintain office supplies and equipment.
- Support special projects and initiatives as assigned by the department head or executive.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- High level of attention to detail and accuracy
- Ability to maintain confidentiality and exercise discretion
- Problem-solving skills and a proactive work ethic
Preferred Qualifications
- Associate’s degree in Business Administration or related field
- Previous experience in a healthcare or large organizational setting
- Experience with scheduling software and office management systems
