Job Description
We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative and personal support to an executive within our New Port Richey office. The ideal candidate will be a meticulous planner, an excellent communicator, and possess the ability to manage a diverse range of tasks efficiently. This role requires exceptional organizational skills, a strong sense of confidentiality, and the ability to anticipate needs, ensuring the executive’s professional and personal life runs smoothly. Key Responsibilities
- Manage complex calendars, scheduling appointments, meetings, and conferences with precision.
- Coordinate extensive travel arrangements, including flights, accommodation, and ground transportation.
- Act as a primary point of contact, screening calls and emails, and directing inquiries appropriately and professionally.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
- Organize and maintain physical and electronic files and records, ensuring utmost confidentiality and easy retrieval.
- Assist with personal tasks and errands as needed, contributing to the executive's overall efficiency and work-life balance.
- Coordinate special projects and events, managing logistics and communicating with stakeholders.
- Process expense reports, handle invoices, and perform basic accounting tasks with attention to detail.
- Ensure the executive's office and workspace are organized, well-stocked, and conducive to productivity.
- Anticipate needs and proactively offer solutions to potential challenges.
Required Skills
- Minimum of 2 years of experience as an administrative assistant, executive assistant, or personal assistant.
- Exceptional organizational, time management, and multitasking skills with a keen eye for detail.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant office software.
- Outstanding written and verbal communication abilities, with a professional and articulate demeanor.
- Demonstrated discretion and ability to handle highly confidential information with integrity.
- Strong interpersonal skills, capable of building rapport and working effectively with various personalities.
- Proactive problem-solving skills and the ability to work independently with minimal supervision.
