Job Description
We are seeking an exceptionally organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and strategic support to our CEO. This pivotal role requires discretion, sound judgment, and the ability to manage complex schedules, communications, and projects with minimal supervision. The successful candidate will act as a gatekeeper, facilitator, and trusted partner, ensuring the CEO’s time is optimized and priorities are met. Key Responsibilities
- Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements (domestic and international).
- Prepare and compile materials for meetings, presentations, and reports, ensuring all necessary documentation is available and accurate.
- Act as the primary point of contact for internal and external stakeholders, screening and prioritizing communications (emails, calls, correspondence).
- Coordinate and plan corporate events, team meetings, and off-sites, managing all logistics from venue selection to catering.
- Handle confidential information with the utmost discretion and integrity.
- Process expense reports, invoices, and other financial documentation accurately and in a timely manner.
- Anticipate needs and proactively address potential issues, demonstrating strong problem-solving skills.
- Assist with special projects and initiatives as assigned by the CEO, requiring research, data compilation, and presentation development.
- Maintain an organized and efficient office environment for the CEO.
Required Skills
- Minimum of 7 years of experience supporting C-level executives in a fast-paced corporate environment.
- Exceptional organizational and time management skills, with a proven ability to multitask and prioritize effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Superior written and verbal communication skills, with a keen eye for detail and grammar.
- Proven ability to maintain confidentiality and exercise discretion.
- Strong interpersonal skills and the ability to build rapport with diverse stakeholders.
- Proactive and anticipatory approach to problem-solving and task management.
- Demonstrated ability to work independently and as part of a team.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Experience in the financial services industry.
- Familiarity with various project management tools and communication platforms.
- Certified Administrative Professional (CAP) or similar certification.
