Job Description

As a Pharmacy Administrative Aide, you will play a crucial role in supporting the efficient operation of our pharmacy management team. This position involves a variety of administrative and clerical tasks essential for the smooth functioning of pharmacy services, ensuring compliance with regulatory standards, and supporting patient care indirectly. You will be responsible for managing communications, organizing records, assisting with scheduling, and providing general administrative support to pharmacists and pharmacy leadership. This is a dynamic role requiring excellent organizational skills, attention to detail, and a proactive approach to problem-solving.

Key Responsibilities

  • Manage and organize pharmacy records, including patient files, prescriptions, and inventory documents, ensuring accuracy and confidentiality.
  • Coordinate schedules and appointments for pharmacy staff and management, including meetings, training sessions, and departmental events.
  • Prepare and process various administrative documents, reports, and correspondence, utilizing office software applications.
  • Act as a primary point of contact for internal and external inquiries, directing calls and visitors appropriately and professionally.
  • Assist with inventory management tasks, including ordering supplies, receiving deliveries, and maintaining stock levels.
  • Support the onboarding process for new pharmacy staff by preparing necessary documentation and coordinating initial training schedules.
  • Maintain office supplies and equipment, ensuring the pharmacy administrative area is well-stocked and functional.
  • Facilitate communication between pharmacy staff, other departments, and external partners.
  • Participate in special projects and initiatives as directed by pharmacy management.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management skills.

Preferred Qualifications

  • Associate's degree in a related field.
