Job Description

We are seeking a highly organized and detail-oriented Virtual Inbox Manager to provide dedicated executive support for a leader within our specialized Think Tank division. This critical remote role is responsible for ensuring seamless communication flow, proactive management of executive correspondence, and robust administrative support to enhance productivity and focus on strategic initiatives. The ideal candidate will possess exceptional discretion, technical proficiency, and a proactive approach to managing complex information streams.

Key Responsibilities

  • Manage and prioritize executive email inboxes, including drafting responses, flagging urgent communications, and archiving.
  • Schedule and coordinate complex meetings, appointments, and travel arrangements, optimizing calendars for efficiency.
  • Filter and triage incoming communications across various platforms (email, chat, project management tools).
  • Prepare meeting materials, agendas, and summaries, and ensure timely follow-up on action items.
  • Conduct light research and synthesize information to support executive decision-making and project needs.
  • Maintain strict confidentiality and handle sensitive information with the utmost discretion.
  • Act as a primary point of contact for internal and external stakeholders, representing the executive professionally.
  • Identify and implement process improvements for inbox and calendar management to increase efficiency.

Required Skills

  • Minimum 3 years of experience in executive administrative support or inbox management.
  • Exceptional organizational and time management skills with a proven ability to prioritize effectively.
  • Superior written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Slack).
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Strong problem-solving abilities and a proactive mindset.
  • High degree of adaptability and comfort working in a fast-paced, remote environment.

Preferred Qualifications

  • Experience supporting executives within a think tank, research institution, or professional services firm.
  • Familiarity with project management software (e.g., Asana, Jira, Trello).
  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Proven track record of anticipating needs and taking initiative.
