Job Description

We are seeking a dedicated and organized Administrative Aide to provide essential support to our medical and dental departments. This role is crucial for ensuring the smooth operation of daily administrative tasks, allowing our clinicians and medical professionals to focus on providing exceptional patient care. The successful candidate will be a proactive individual with excellent communication skills and a strong commitment to service.

Key Responsibilities

  • Manage and maintain patient records, ensuring accuracy and confidentiality.
  • Schedule and confirm patient appointments for medical and dental services.
  • Handle incoming calls, direct inquiries, and provide general information to patients and visitors.
  • Process insurance claims and assist patients with billing inquiries.
  • Order and maintain office supplies, ensuring adequate stock levels.
  • Prepare reports, presentations, and correspondence as required by department heads.
  • Coordinate meetings, prepare agendas, and record minutes.
  • Liaise with various departments to facilitate inter-departmental communication and operations.
  • Maintain a clean and organized reception and office area.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to maintain strict confidentiality of patient information.
  • Customer service oriented with a professional and compassionate demeanor.
  • Experience with medical scheduling software and electronic health records (EHR).

Preferred Qualifications

  • Associate’s degree in Medical Administration or related field.
  • Bilingual proficiency (English and Spanish).
  • Previous experience in a healthcare or dental office setting.
  • Familiarity with medical and dental terminology.
