Job Description

We are seeking a highly organized and detail-oriented Records Management Assistant (AI) with a strong focus on digital data. In this role, you will be instrumental in supporting our advanced records management systems, ensuring the integrity, accessibility, and compliance of vast digital information assets. You will work with cutting-edge AI tools to classify, retrieve, and manage digital records, contributing to our efforts to optimize data governance and information lifecycle management. Key Responsibilities

  • Assist in the development and implementation of digital records management policies and procedures.
  • Utilize AI-powered tools and software to classify, index, and organize digital records efficiently.
  • Perform routine data audits to ensure accuracy, completeness, and compliance with internal and external regulations.
  • Manage the lifecycle of digital records from creation to disposition, including archiving and retrieval processes.
  • Provide support for data migration projects, ensuring seamless transfer and integration of digital assets.
  • Respond to requests for information and records, ensuring timely and secure access for authorized personnel.
  • Collaborate with IT and data governance teams to enhance digital data security and privacy measures.
  • Contribute to training initiatives for employees on best practices for digital records management.
  • Identify opportunities for process improvement in digital recordkeeping using AI and automation.
  • Maintain up-to-date knowledge of records management best practices, digital data trends, and relevant regulations.

Required Skills

  • Proficiency in digital records management systems and databases.
  • Familiarity with AI/ML concepts as applied to data classification and retrieval.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a collaborative team.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Understanding of data privacy principles (e.g., GDPR, CCPA).
  • Experience with document imaging and content management systems.

Preferred Qualifications

  • Bachelor's degree in Information Science, Library Science, Computer Science, or a related field.
  • Certifications in records management (e.g., CRM) or data governance.
  • Experience working with large-scale enterprise data environments.
  • Knowledge of scripting languages (e.g., Python) for data manipulation or automation.
