Job Description

We are seeking a proactive and highly organized Administrative Partner to join our collaborative office environment in Naperville. This role is crucial for ensuring the smooth operation of daily administrative functions, providing comprehensive support to multiple department leaders and teams. The ideal candidate will be a self-starter with exceptional communication skills, a keen eye for detail, and the ability to manage multiple priorities effectively in a dynamic setting. Key Responsibilities

  • Manage complex calendars, coordinate meetings, and schedule appointments for multiple executives and team members.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
  • Organize and maintain physical and electronic filing systems, ensuring efficient retrieval of information.
  • Coordinate travel arrangements, including flights, accommodation, and ground transportation, and process expense reports.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries appropriately.
  • Assist with planning and executing corporate events, meetings, and team-building activities.
  • Order and maintain office supplies, manage vendor relationships, and ensure office equipment is in working order.
  • Facilitate communication across departments and with external partners, ensuring timely dissemination of information.
  • Support special projects and initiatives as assigned, demonstrating flexibility and adaptability.

Required Skills

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to prioritize tasks and manage multiple projects concurrently

Preferred Qualifications

  • Associate’s degree in Business Administration or a related field
