Job Description

We are seeking a highly motivated and detail-oriented Executive Assistant (Junior) to provide essential corporate support to our senior leadership team in Portland, Oregon. This is an exceptional opportunity for an ambitious individual looking to build a career within a top-earning financial institution. You will play a crucial role in ensuring the efficient operation of our executive office, managing calendars, coordinating meetings, and handling critical communications. Key Responsibilities

  • Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and coordinate internal and external meetings, including preparing agendas and taking minutes.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, with professionalism and discretion.
  • Assist with special projects and initiatives as assigned by senior leadership.
  • Process expense reports and manage office supplies inventory.
  • Maintain organized filing systems, both digital and physical.
  • Act as a primary point of contact for internal and external stakeholders.
