Job Description
We are seeking a highly organized and proactive Event Transportation Lead to manage and coordinate multi-car transportation logistics for various corporate events, conferences, and executive movements in and around Irvine, CA. This role requires exceptional planning skills, a keen eye for detail, and the ability to manage multiple moving parts simultaneously. The successful candidate will be responsible for ensuring seamless, timely, and safe transportation services, working closely with event organizers, drivers, and external vendors.
Key Responsibilities
- Develop and implement comprehensive transportation plans for events, including route planning, vehicle allocation, and driver scheduling.
- Coordinate the movement of multiple vehicles (sedans, SUVs, vans) and drivers for various event requirements.
- Manage communications with event stakeholders, internal teams, and external transportation vendors.
- Monitor real-time traffic conditions and make dynamic adjustments to routes and schedules as needed.
- Ensure all vehicles are maintained to the highest safety and cleanliness standards.
- Train and supervise a team of drivers, ensuring adherence to company policies and service standards.
- Conduct pre-event briefings and post-event debriefings to identify areas for improvement.
- Manage transportation budgets and cost-efficiency without compromising service quality.
- Handle unexpected transportation challenges or emergencies with professionalism and effective problem-solving.
- Maintain accurate records of transportation logs, expenses, and driver performance.
Required Skills
- Proven experience in transportation logistics or event coordination, specifically involving multi-vehicle management.
- Strong organizational and planning skills with meticulous attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and adapt to dynamic event schedules.
- Proficiency in using GPS, scheduling software, and communication tools.
- Valid driver's license with a clean driving record.
- Knowledge of local Irvine and Southern California road networks.
