Job Description
We are seeking a dedicated and organized Admin Assistant to support our department operations during school-friendly hours (9am-2pm, Monday-Friday). This is an excellent opportunity for an individual looking for a stable part-time role that accommodates family schedules. The successful candidate will provide essential administrative support, ensuring the smooth and efficient running of daily activities within a dynamic university setting.
Key Responsibilities
- Manage and organize office files, both physical and digital, ensuring confidentiality and easy retrieval.
- Answer and direct phone calls, greeting visitors, and taking accurate messages as necessary.
- Assist with scheduling appointments, meetings, and maintaining calendars for department staff.
- Prepare and edit documents, presentations, and basic reports with accuracy and attention to detail.
- Handle incoming and outgoing mail and packages, ensuring timely distribution.
- Order and maintain office supplies inventory, ensuring adequate stock levels.
- Provide general administrative support to staff and faculty as needed, fostering a collaborative environment.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong verbal and written communication abilities, suitable for an academic environment.
- Ability to work independently with minimal supervision and collaboratively as part of a team.
- High attention to detail and problem-solving skills to manage daily operational needs.
Preferred Qualifications
- Previous experience in an administrative support role, preferably within an educational or non-profit setting.
- Familiarity with office equipment (e.g., multi-function printers, scanners, video conferencing tools).
- Experience with calendar management software beyond basic Outlook functionality.
