Job Description
We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team in Peoria, IL. The ideal candidate will provide comprehensive administrative support to various departments, ensuring efficient daily operations and contributing to a positive work environment. You will be a crucial point of contact, managing schedules, coordinating meetings, preparing documents, and handling general office tasks with professionalism and discretion.
Key Responsibilities
- Manage and maintain executive schedules, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate meetings, conferences, and special events, including room setup and catering.
- Conduct research, compile data, and prepare reports.
- Handle incoming calls and correspondence, directing inquiries to the appropriate personnel.
- Maintain an organized filing system, both electronic and physical.
- Assist with budget tracking, expense reports, and invoice processing.
- Order and maintain office supplies and manage inventory.
- Provide general support to visitors.
- Act as a liaison with internal and external clients.
Required Skills
- Proven experience as an administrative assistant or office admin assistant.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- High school diploma; additional qualification as an Administrative Assistant or Secretary will be a plus.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or related field.
- Experience in a large corporate environment.
- Familiarity with office gadgets and applications (e.g., e-calendars and scheduling software).
- Knowledge of Caterpillar's internal systems or similar large-scale ERP/CRM.
