Job Description

We are seeking a highly organized and proactive Remote EA Associate to provide comprehensive administrative support to our senior leadership team. This is a crucial role for a self-starter who excels in a fast-paced, virtual environment. The successful candidate will manage complex schedules, coordinate travel, prepare presentations, and ensure seamless communication across various departments, all from a 100% remote setting. This position requires strong attention to detail, excellent communication skills, and the ability to handle confidential information with discretion.

Key Responsibilities

  • Manage and maintain complex calendars, including scheduling meetings, appointments, and conferences across different time zones.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation.
  • Prepare and edit correspondence, reports, presentations, and other documents with accuracy and attention to detail.
  • Organize and facilitate virtual meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Handle confidential information with discretion and professionalism.
  • Process expense reports and manage invoices in a timely manner.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and emails as appropriate.
  • Assist with special projects and initiatives as assigned by the leadership team.
  • Ensure efficient workflow and communication within the remote team structure.

Required Skills

  • Proven experience as an Executive Assistant or Senior Administrative Assistant.
  • Excellent organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to work independently and proactively in a remote environment.
  • High level of discretion and confidentiality.
  • Problem-solving abilities and attention to detail.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience supporting senior executives in a large corporate environment.
  • Familiarity with virtual collaboration tools (e.g., Zoom, Microsoft Teams).
  • Knowledge of financial services industry terminology and practices.
