Job Description

We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative and personal support to a senior executive. This pivotal role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a trusted partner, anticipating needs and ensuring seamless operations, both professionally and personally, for the executive. Key Responsibilities

  • Manage and maintain executive's complex calendar, including scheduling appointments, meetings, and travel arrangements.
  • Act as the primary point of contact for internal and external communications, screening calls and emails.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and coordinate personal and professional appointments and events.
  • Handle confidential information with the utmost discretion and professionalism.
  • Assist with personal errands and tasks as needed to support the executive's work-life balance.
  • Process expense reports and manage petty cash or corporate credit card usage.
  • Develop and maintain a filing system for critical documents and information.
  • Coordinate with other departments and external stakeholders to ensure smooth operations.
  • Anticipate needs and proactively offer solutions to improve efficiency and productivity.

Required Skills

  • Minimum of 2 years of experience as a Personal Assistant or Executive Assistant.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication abilities.
  • High level of discretion and integrity when handling confidential information.
  • Ability to work independently and as part of a team.
  • Problem-solving skills and a proactive approach to tasks.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience working in a large corporate or healthcare environment.
  • Familiarity with virtual collaboration tools and project management software.
  • Notary Public certification is a plus.
