Job Description
We are seeking an experienced and highly organized Remote Records Manager to oversee the complete lifecycle of our company’s records. This is a 100% remote position, open to candidates across the USA. The successful candidate will be responsible for developing, implementing, and maintaining records management policies and procedures, ensuring compliance with legal and regulatory requirements, and optimizing efficiency in information retrieval and storage. You will play a critical role in safeguarding sensitive information and supporting our operational objectives through effective record-keeping practices.
Key Responsibilities
- Develop, implement, and maintain comprehensive records management policies and procedures in alignment with industry best practices and regulatory guidelines.
- Manage the full lifecycle of physical and electronic records, including creation, receipt, maintenance, use, and disposition.
- Ensure compliance with all applicable data privacy laws, records retention schedules, and corporate governance policies.
- Oversee the classification, indexing, storage, and retrieval of records to ensure accuracy and accessibility.
- Conduct regular audits of records management systems and processes to identify areas for improvement and ensure data integrity.
- Provide training and guidance to employees on records management best practices and compliance requirements.
- Collaborate with IT, Legal, and other departments to integrate records management into business processes and technology solutions.
- Manage records storage facilities and digital repositories, ensuring security and proper environmental controls.
- Prepare reports on records management activities, compliance status, and system performance.
Required Skills
- Minimum of 4 years of experience in records management or information governance.
- Proven knowledge of records management principles, best practices, and industry standards (e.g., ISO 15489).
- Familiarity with data privacy regulations (e.g., GDPR, CCPA) and other relevant legal and regulatory requirements.
- Proficiency with electronic document management systems (EDMS) and records management software.
- Strong organizational skills and attention to detail.
- Excellent communication, interpersonal, and training skills.
- Ability to work independently and manage multiple priorities in a remote work environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Preferred Qualifications
- Bachelor's degree in Library Science, Information Management, Archival Studies, or a related field.
- Certified Records Manager (CRM) or Information Governance Professional (IGP) certification.
- Experience with enterprise content management (ECM) platforms such as SharePoint, OpenText, or Box.
- Project management experience in records management system implementation or migration.
- Experience in the financial services industry.
