Job Description

We are seeking a proactive and detail-oriented Records Management Assistant with a strong focus on digital data and an interest in Artificial Intelligence (AI) applications. In this vital role, you will support our records management team in organizing, maintaining, and retrieving critical digital information. You will play a key part in ensuring data integrity, compliance, and accessibility, while also exploring how AI tools can enhance our digital records processes. This position requires a meticulous individual capable of working with various digital platforms and contributing to the continuous improvement of our data management strategies within a fast-paced financial services environment.

Key Responsibilities

  • Assist in the digitization, indexing, and cataloging of physical and electronic records.
  • Maintain and update digital records systems to ensure accuracy, completeness, and accessibility.
  • Support the implementation and maintenance of record retention schedules and disposal procedures.
  • Monitor compliance with internal policies and external regulatory requirements related to data and records management.
  • Collaborate with various departments to ensure proper handling and storage of sensitive information.
  • Participate in projects aimed at leveraging AI and machine learning for enhanced digital data classification, retrieval, and analysis.
  • Provide support for records audits and information requests.
  • Identify and recommend improvements for digital records management workflows and technologies.
  • Assist in training new team members on records management best practices and system usage.

Required Skills

  • Proficiency in digital document management systems and databases.
  • Strong organizational skills and attention to detail.
  • Basic understanding of data privacy and compliance principles (e.g., GDPR, CCPA).
  • Familiarity with Microsoft Office Suite (Word, Excel, SharePoint).
  • Ability to work independently and as part of a team.
  • Excellent written and verbal communication skills.
  • Demonstrated interest in Artificial Intelligence, machine learning, or advanced data analytics.
  • Experience with digital scanning and OCR technologies.

Preferred Qualifications

  • Associate's or Bachelor's degree in Library Science, Information Management, Computer Science, or a related field.
  • Certification in Records Management (e.g., CRM or IGP).
  • Experience in a regulated industry, such as financial services or healthcare.
  • Prior experience with enterprise content management (ECM) systems.
  • Understanding of metadata standards and best practices.
  • Project management experience.
